General Job Function: To assist and relieve administrative supervisor of paper work and impediments so that
He or she may devote maximum attention to administrative tasks.
Education/Training/Experience:
- High school graduate or satisfactory completion of the General Education Development (GED) Test and a combination of college work in the area of clerical work and/or technical training in related areas, the knowledge gained through experience may be substituted; however, must have acquired necessary skills to perform required tasks.
- Must have acquired competencies relating to sound office practice and procedures as reflected by work experience and/or training.
Knowledge/Skills and Abilities:

- Knowledge of generally accepted purchasing principles, established procedures, departmental guidelines, and regulatory requirements applicable to the work.
- Ability to understand, follow and direct written and oral instructions.
- Ability to read, updates, evaluates and maintains various records and files.
- Ability to access, operate and maintain various software applications.
- Ability to clearly communicate information both orally and in writing.
- Ability to operate basic office equipment, e.g., computer terminals, printers, copy machines, telephone systems, facsimile machines, and other digital-based equipment.
- Ability to develop and implement policies and procedure for the utilization of vendor catalogues, commercial registers, directories, office files and other recourses for the procurement of goods and services.
- Skill in performing routine-to-moderately complex mathematical computations and tabulations accurately and efficiently, as they relate to purchasing.
- Skill in establishing and maintaining effective working relationships with all personnel,
- Skill in the principles and practices of governmental purchasing management and analysis.
- Knowledge of Microsoft office products, such as Access, Visions, Excel, Outlook, Project, PowerPoint, Word, etc.
Resources Used in Performing Job Include (but are not limited to):
Standard office equipment and vehicle for district travel. A district car may be used or if the employee uses his/her own vehicle mileage reimbursement is available.
Physical/Cognitive Requirements:
Regularly required to walk, talk and listen. Frequently is required to stand and sit. Required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and stoop, kneel, crouch, or crawl. Specific vision abilities required by this job include close vision, distance vision, and depth perception. Light lifting at times.
Environmental Conditions:
The noise level in the work environment is usually moderate.
Essential Job Functions:
- Prepare correspondence, reports, proposals, etc.
- Attend all school board special and regular meetings.
- Tape and transcribe all board meeting minutes, Xerox minutes and send to board members, and administration. Type board minutes on official minute book.
- Prepare board meeting agenda draft for superintendent.
- Xerox and prepare all exhibits for board members, superintendent and administrators for all board meeting.
- Type and distribute agendas to board, administration, schools and associations.
- Inspection of Public Records.
- Prepare all purchase orders.
- Receive and receipt all monies that come in.
- Shall establish a sound filing system and account for all data documents assigned his/her care.
- Type and send out all letters to certified and non-certified personnel after action has been taken at board meetings.
- Receive and process all incoming and outgoing correspondence, reports, resolutions, etc. for the superintendent.
- Order and maintain supplies as needed.
- Help superintendent in the preparation for school board and school bond elections.
- Calendar for Board Room and Conference Room.
- Perform other tasks as assigned by the Superintendent and Board of Education.

- Demonstrates reliability as evidenced by attendance records and punctuality.
- Properly notifies supervisor and/or designee of absences or tardiness.
- Begins and completes work within the allotted time.
- Consistently appears in attire appropriate to the work environment.
- Demonstrates skill in the use of equipment including its capabilities, limitations and appropriate/special application,
- Protects the District’s resources through appropriate and careful use of supplies and equipment.
- Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.
EMPLOYMENT: Upon an offer of employment, pass a pre-employment drug test and comply with the Immigration Reform and Control Act of 1968, pass a background check and provide necessary documentation qualifications. |
