General Job Function:  

To assist and relieve Principal of paper work and impediments so that he/she may devote maximum attention to administrative tasks. To assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of children can be realized.

Education/Training/Experience:

  • High School diploma
  • Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee of $44.00) paid by applicant
  • Candidate must have satisfactory outcome of drug test
  • Able to complete and pass the District’s secretarial exams

 

Knowledge/Skills and Abilities:

Physical/Cognitive Requirements:

Maintain emotional control under stress; work with frequent interruptions; frequent walking, standing, stooping and bending. Occasional: Lifting and carrying 10-25 pounds.

 

Environmental Conditions:

The noise level in the work environment is usually moderate.

 

Essential Job Functions:

 

  1. Assist and act in a confidential capacity with respect to a person who determines effectuates management procedures and school board policies.
  2. Perform the usual office routines and practices associated with a busy yet productive and smoothly run office to include but not limited to, Creating and Updating Forms, coverage of front desk as needed, Inventory of Materials and Supplies, Requisitions and Purchase orders.
  3. Prepare, submit and verify all required reports and forms in a timely manner.
  4. Maintain other student records, office correspondence, and other pertinent data as required and accounts for documentation.
  5. Collect, receipt and direct all money transactions   and maintain running balance on the various accounts to include activity and cafeteria. In additions, all monies must be submitted to Central Office within twenty-four (24) hours or earlier.
  6. Responsible for all cafeteria reports, reconciliation, student applications, meal accountability, school lunch applications, edit check, meal count and consolidated form, etc.
  7. Assist in processing all changes and adjustments in student schedules as directed by the Principal.
  8. Maintain check-in and check-out attendance logs and prepare and submit payroll certification for all employees. Distribution of payroll to employees.
  9. Assist teachers in preparing or ordering instructional materials or supplies as approved by the Principal.
  10. Input and facilitates the updating of education programs information and other student based data (student data, staff, personnel information, etc.) through the SIS. Program/school master/visions, as applicable.
  11. Maintain Staff Personnel Files and Leave Forms.
  12. Submit, Track and Follow-up Technology & Maintenance Workorders.
  13. Manage and Update Website.
  14. Cover for nurse when absent.
  15. Collect and Submit to Maintenance Department all Custodial Orders.
  16. Perform other assigned tasks required by the Supervisor(s)

  2. Properly notifies supervisor and/or designee of absences or tardiness.
  3. Begins and completes work within the allotted time.
  4. Consistently appears in attire appropriate to the work environment.
  5. Demonstrates skill in the use of equipment including its capabilities, limitations and appropriate/special application,
  6. Protects the District’s resources through appropriate and careful use of supplies and equipment.
  7. Utilizes appropriate body mechanics to aid in the prevention of muscle strain/injury.
